Writing a cleaning brief.

Before you begin.

Distinguish routine cleaning from deep cleaning, restoration or repairs. The condition of a surface and the type of treatment needed can affect both scope and achievable results. A walkthrough may be necessary before a quotation is finalised.

Your preparation checklist.

• State the location and type of premises.
• List the rooms, common areas and surfaces included.
• Describe the approximate size and current condition.
• Explain access hours and any occupants or trading restrictions.
• Identify fragile items, restricted areas and specialist requirements.
• Clarify materials, equipment, utilities and waste responsibilities.
• Agree how completion and any exceptions will be reviewed.

Turn the checklist into a brief.

Summarise what is known, what still needs checking and who can answer the outstanding questions. Add relevant timing and location information. This gives the service discussion a useful starting point without assuming the final scope.

Do not include sensitive records or passwords in the initial enquiry. Describe the type of information involved and agree an appropriate way to share any supporting material.
